How to convert a PDF to Word without losing the formatting

Updated

Most PDF-to-Word converters give you a page of floating text boxes — it looks right until you try to add a sentence. A good conversion rebuilds the document the way Word thinks about it: headings, paragraphs, lists and tables that flow from page to page.

Steps

  1. Open PDF to Word and choose the PDF.
  2. If it is a scan, turn on “Recognise text on scanned pages (OCR)”.
  3. Press Convert to Word and open the .docx in Word, Google Docs or LibreOffice.

What carries over

  • Headings become Word’s Heading styles, so the navigation pane and a table of contents work straight away.
  • Bulleted and numbered lists are real Word lists.
  • Tables keep merged and shaded cells, and a table split across pages is joined back into one.
  • Pictures and charts stay in place; the header and footer move into Word’s header and footer with live page numbers.
  • Paragraphs cut in two by a page break are joined, so the text re-flows as you edit.

When a layout is unusual

Posters, brochures and forms with text scattered across the page do not have a single reading order. For those, PDF to PowerPoint keeps each block where it was, or edit the PDF directly in the editor.
